Problem: Queued email and outbound email not leaving our systems

Description

It has been reported that there was an outbound email issue affecting all MyServer users between approximately 20:00 last night and 03:00 this morning.  Users affected will have received “delayed” email warnings.  No email is lost, it is simply stuck awaiting delivery, hence the delay warnings.

I apologise for any issues, and we are looking into the problem.

Updates

We have now got to the bottom of the issue of the outbound email “stuck” on the mail server Charles passing through our mail exchange MX3.

This was down to allowing inbound emails to be automatically forwarded to other external email servers, ie Hotmail or gmail.  The problem with this is that this has been forwarding some spam, and those public services have reported MX3 as a spammer, as to them, this is where it was coming from.  Fortunately we were able to route outbound emails via another country, ie MX1 in Dublin in Ireland, whilst we restored the reputation of MX3.

This means, it is very easy to trip these systems into disallowing our systems the ability to send email.

Resolution

We are therefore going to withdraw the auto forwarding ability from 1st August 2022 so that this does not happen again.
